The Seller Payable shown under Finance is the amount OurPay’s internal ledger currently owes an organization. It is not the balance of a seller-owned PayPal account or bank account. This distinction matters because every PayPal capture settles to the deployment operator’s central Business account while each organization’s earnings remain isolated in its own ledger.

What changes seller payable

For a successfully paid order, the ledger starts with product revenue excluding collected tax, then applies:
  • The organization’s configured OurPay transaction fee
  • Any configured subscription fee
  • Full or partial refunds
  • Lost disputes and their configured fees
  • Fee credits
  • Payout transactions already recorded in OurPay
Pending captures, declined payments, incomplete orders, and free trials add nothing. An open dispute does not reduce the payable until it is lost, so the displayed amount can still change. Every balance change remains linked to its originating payment, order, refund, dispute, or fee transaction. Use those ledger records for reconciliation instead of recomputing earnings from the current product price.

PayPal cash is a different number

For each PayPal capture, OurPay records the processor’s gross amount, processor fee, and resulting net or receivable amount. That describes cash received by the central PayPal account. The PayPal processing fee is recorded as an operator processor cost. It is not silently deducted from the seller payable in addition to the published OurPay fee. When PayPal reports a fee returned on a refund, OurPay records the fee credit separately. The two balances can differ because one is central processor cash and the other is an organization liability. They should be reconciled, never treated as interchangeable.

Currency behavior

The standard seller ledger is denominated in USD. The central PayPal integration rejects a checkout whose currency does not match the organization’s ledger currency rather than inventing an exchange rate or overstating seller earnings. PayPal can still apply its own currency rules to the receiving Business account. Configure that account to accept every product currency before enabling live sales. External transfers

Sending a seller money outside OurPay does not automatically create a payout transaction or reduce Seller Payable. Until payout execution and reconciliation are implemented, the ledger continues to show the liability. Keep a separate operational record of any manual transfer and never describe it as reconciled in OurPay.
